Progress reports

  • Progress reports are a condition of Central Adelaide Local Health Network (CALHN) ethics and governance approval.
  • Progress reports are due within two weeks of the anniversary of CALHN Human Research Ethics Committee (HREC) ethics approval each year.
  • The reporting period is for the previous 12 months.
  • Extensions for CALHN ethics and governance approval are dependent upon the submission of the progress report by the due date.
  • All sites approved by CALHN or CALHN sites involved in the project must be listed on the report for approval or acknowledgement to be achieved.

Site closure and final reports

  • Final reports are a condition of CALHN ethics and governance approval.
  • Final reports should be submitted after data analysis is completed.
  • Once approved by the CALHN HREC Chair or acknowledged by CALHN Governance the study will be listed as closed by the Research Office.
  • All sites approved by CALHN or CALHN sites involved in the project must be listed on the report for approval or acknowledgement to be achieved.

For multi-site studies where CALHN is the reviewing HREC and the study is ongoing or on hold submit:

For multi-site studies where CALHN is the reviewing HREC and a CALHN site is closing but the study is ongoing submit:

For multi-site studies where there is an external reviewing HREC and a CALHN site is closing but the study is ongoing submit:

  • External final report (submitted to the reviewing ethics)
  • External final report approval (sent by the reviewing ethics)

Researchers have the option to submit progress, site closure or final reports through the SA Health Research Governance and Ethics Management System (GEMS) or through email to Health.CALHNResearchMonitoring@sa.gov.au.

To submit reports to Health.CALHNResearchMonitoring@sa.gov.au:

  1. Download the relevant reporting template above.
  2. Ensure the principal investigator (PI) for the study has signed the bottom of the form and is Cc'd in the email.
  3. Submit the report to Health.CALHNResearchMonitoring@sa.gov.au.

Where the Northern Adelaide Local Health Network (NALHN) or Southern Adelaide Local Health Network (SALHN) have sites listed on the report please confirm with the Research Governance Office (RGO) what their preferred method of submission is before continuing. 

The submission of progress reports are required in alignment with the National Statement on Ethical Conduct in Human Research 2023 and therefore within CALHN as a research institution.

Section 5.4.8 of the National Statement published by the National Health and Medical Research Council states:

At regular periods - reflecting the degree of risk, and at least annually and at the completion of the project - researchers should provide reports to the relevant ethics review body/ies and institution/s including information on:

(a) progress to date, or outcome in the case of completed research;

(b) the security of the project-related data and information;

(c) compliance with the approved proposal; and 

(d) compliance with any conditions of approval (page 100).
